Smarter Email, Fuller Rooms: What a Year of Segmented Sending Did for VRNation
Sponsored content from Crystal Springs Marketing
In one year of working with Crystal Springs Marketing, VRNation's email click rate rose 98 percent, its click-to-open rate more than doubled, and its unsubscribe rate fell 73 percent. The association sent more emails than the year before while delivering fewer total emails, because each one went only to the people it was written for. Here is how that happened, and what any vacation rental operator can take from it.
The Partnership
VRNation grew out of the Northwest Vacation Rental Professionals and now serves property managers and self-managing hosts across North America. It is run by vacation rental managers, operates as a nonprofit, and reinvests in industry education, advocacy, and member benefits. Email is how the association reaches all of that: a monthly newsletter, a sponsored webinar series, regional roadshows, and the Annual Conference.
From November 2025 through October 2026, Crystal Springs Marketing (CSM) handled every one of those emails, from strategy and copy through design, build, segmentation, sending, and reporting. The goal was to get the right message to the right member, keep the list healthy, and show the board what was working.
What We Built Together
- One audience record. Every contact VRNation had, from member applications to webinar signups to roadshow check-ins, was brought into a single list and tagged by state, role, membership status, and event history. A member in Tennessee who had attended two roadshows now looked different from a first-time webinar registrant in Oregon, and the emails could treat them differently.
- A version for every audience. 113 emails went out in 279 versions, each one written for the people receiving it. Members and non-members received different messages: a roadshow announcement went to the market hosting it, a day-before reminder went only to registrants, and a thank-you went only to those who showed up.
- Emails rebuilt from scratch. Hand-coded templates matched to the VRNation brand and built for phones, dark mode, and screen readers replaced drag-and-drop layouts. When VRNation launched its new website, the emails matched it the same week, and every link and date was checked against the site before send.

4. A healthier list. The least engaged segments were separated out so they no longer dragged down results for everyone else and no longer signaled low engagement to inbox providers. The bounce rate averaged 0.11 percent for the year, and the unsubscribe rate fell 73 percent.
5. Numbers the board could use. For the first time, VRNation saw monthly open, click, unsubscribe, and bounce rates by campaign and by segment, measured against a real baseline from the year before. Every figure in this article comes from that reporting.
6. A team that knows why it matters. CSM walked VRNation staff through email authentication, list hygiene, and the sending habits that keep mail in the inbox. Once the team understood why a clean list protects inbox placement, the association cleaned up its own member data.
Results
The click rate nearly doubled and the unsubscribe rate fell by three-quarters, while the number of email versions nearly tripled.

The gain did not come from one kind of email. Every major email type improved, from webinars (1.8x) to newsletters (2.4x).

- Clicks per month rose 65 percent while emails delivered per month fell 16 percent. Newsletters still went to everyone, but event emails went only to the people they were written for, so more emails were written, fewer were mailed, and far more were clicked.
- The best month on record was July 2026, with a 10.3 percent click rate and 40 percent of openers clicking through.
- A majority of the people who registered for a VRNation event this year had not attended one in well over a year, and several roadshow stops were mostly first-timers.
"Through it all, you've always been responsive, supportive, and willing to jump in wherever we needed you. That hasn't gone unnoticed, and I'm truly grateful for everything you've done to help VRNation.”
Heidie Henriksen, Executive Director, VRNation, October 2026
What Any Vacation Rental Operator Can Take From This
The same approach works for owner updates, guest emails, and past-guest marketing. Here are the six things that moved the numbers.
- Tag your list by relationship, not just by name. Current guest, past guest, owner, prospect, local, out of state. If you cannot tell them apart in your list, you cannot write to them differently.
- Write the email for the person getting it. A reminder to someone who already booked should not read like a pitch to someone who has not, and one email in three versions will usually outperform three emails sent to everyone.
- Send fewer emails to more of the right people. VRNation delivered 16 percent fewer emails a month and got 65 percent more clicks a month, because relevance moves the numbers, not volume.
- Protect your sender reputation. Separate out the contacts who never open, keep bounces low, and make unsubscribing easy, because inbox providers notice all three and they decide whether your next email lands.
- Make sure your platform can keep up. Tagging and segmenting only work if your email platform lets you update what it knows about each subscriber and can pull from your booking or CRM system. If it cannot, the work in this article has to be done by hand, and most teams will not keep that up.
- Measure against your own baseline. Industry benchmarks tell you about someone else's list. Know what yours did last year, then beat it.
